In operation since 1983, Southern File & Data Management has provided records management services to a wide variety of organisations and prides itself on being able to cater for both large and small business alike. We are committed to providing the best possible service to our clients whatever their storage needs. Southern File & Data Management ~ Security & Quality Assurance Procedures

All Southern File and Data Management’s premises are fitted with user owned, contract maintained, multi-circuit intruder alarm systems. All alarms have Red Care direct links to a Central Monitoring Station. For added peace of mind, multi camera CCTV monitoring and video recording together with security lighting complement our security systems. Constant operational supervision monitors all levels of performance and service achievement. This is supported by a fully networked computer system operating bespoke software (written in-house), as well as various other top of the range IT programmes. Unit location, production of pick sheets, bar code tracking labels, delivery and collection notes are computer generated from a central data-base and all unit movements are double scanned both in and out of storage. Random ‘inventory’ scanning is also carried out to back-up this procedure.

Southern File & Data Management ~ Communications & IT

We employ a team of dedicated people to cater for all our communications and IT requirements. This includes ensuring that both our employees and clients – where operating hardware/software supplied by us – receive suitable training and support, as well as maintaining in-house and off-site hardware and software. At our Head Office in Preston Road, Reading, Southern File & Data Management operate a 12 line, 20 extension Meridian telephone network via switchboard together with 3 fax, 4 modem lines and ADSL and microwave links to support a 1Mb permanent and secondary Internet feeds fully protected by a hardware firewall. This multi-line installation is designed to prevent customer queuing at heavy traffic periods often experienced around retrieval cut-off times.
